Before you join the 2026 JCI ASPAC Niigata in Japan, let’s make sure your travel plans are smooth and worry-free! Below, you’ll find information on Japan’s visa requirements, exemption list, and how to apply if a visa is required.

What is a Visa?
A visa is one of the requirements for entering Japan as defined by the “Immigration Control and Refugee Recognition Act”, and it does not guarantee to enter Japan. Visas are issued at the Embassy, Consulate-General, Consular Office of Japan abroad. They cannot be obtained when you arrive in Japan or while you are staying in Japan.

Countries and regions that do not require a visa to enter Japan
Japan allows people from 74 countries and regions to enter without a visa (visa-free entry). These countries are listed in the table in the link below.

Online application for the visit to Japan with tourism purpose (single-entry)
All foreign nationals/people who need to obtain a short-term visa to Japan AND currently reside in the following countries/region, are eligible to apply for a visa online: Australia, Brazil, Cambodia, Canada, Saudi Arabia, South Africa, Taiwan, United Kingdom, U.S.A.

Visa Application Procedures
①Contact the Japanese Embassy or Consulate
Requirements for visa application may vary depending on the local situation/the purpose of your visit. You can find detailed information on the website of the Diplomatic Mission of Japan (Embassy, Consulate-General, or Consular Office) where you will submit your application.
②Prepare all the required documents.
Please note that in many cases, various application documents must be submitted within three months of their issuance (or before the expiration date, for documents that have one).
③Submit Your Application Documents
Once all the documents are ready, you may apply for a visa at the consular section of the Diplomatic Mission of Japan with jurisdiction over your place of residence, at an accredited agency, the Japan Visa Application Centre, or online, by the method specified by the Diplomatic Mission of Japan where you will submit your application (visa application cannot be made inside Japan.).
It takes approximately one week to process the application, provided that all necessary requirements are met. Additional documents may be required on a case-by-case basis. It may take longer than usual to receive the result of the visa examination in case the Diplomatic Mission of Japan deems necessary to consult with the Ministry of Foreign Affairs in Tokyo.
The Diplomatic Mission of Japan or the accredited agency will notify the visa applicant of the result.
④Pay the Visa Fee and Collect
Fees must be paid for the issuance of visas. The fees are about 3,000 yen for a single-entry visa, 6,000 yen for a double-entry or multiple-entry visa, and 700 yen for a transit visa. Fees are collected in the currency of the country (region) in which the Embassy / Consulate General is located.
Depending on the purpose of your visit and your nationality, fees may not be required or may be a different amount.
Validity of a Visa
Visas are only valid for entering Japan on one occasion. The period of validity of the single-entry visa is three months. Please make sure that the bearer of visa apply for landing with an immigration inspector at the port of entry where he/she seeks to land and undergo an examination for landing before the visa is expired. The visa will become invalid once he/she applied for landing or be expired by reaching expiry date which is earlier.

Visa Invitation Letter
After you register for the conference, we can give you a Visa Invitation Letter if you tell us you need one.
Please note: We will only give you the Visa Invitation Letter after your registration fee is paid in full.
The invitation letter will be sent to the registered participant.
The deadline for the Secretariat to process requests for the invitation letter is Friday, May 29th.
The time required from visa application to visa issuance is 5 working days from the day following the date of receipt of the application, provided that there is no particular problem with the content of application. Meanwhile, it may take longer than usual if a large number of visa applications converge at a short-time period.
